As you know, we are no longer publishing monthly PAC newsletters. Instead we are focusing on keeping the PAC website up-to-date and full of useful information! As we add new items, older items tend to get hidden so we thought that each month we would publish a summary of recent posts.

At the beginning of the school year, the PAC sent out a Contact Permission Form  to every Ross Road family, via the school office email system. The contact information collected from each form is used to create the 2011-12 School Directory, which is approaching the final stages of production. We have had a great response and would like to thank everyone who took the time to fill out the form.

There are still a few families who have not submitted their forms, and while inclusion in the directory is completely optional, we just wanted to make sure that we weren’t leaving out anyone!

There has been some confusion about the similarities of the school’s consent form and the PAC Contact Permission Form. Ross Road School and the Ross Road PAC use different communication networks and, for privacy reasons, we have to collect contact information separately.

Please click here to download the PAC Contact Permission Form. Fill it out and drop it off in the PAC Drop-Box (under the down stairs in the school lobby).
Hard copies are also available on the shelf next to the office window in the school lobby.

If you could return the form by Friday, November 4th at the very latest, that would fantastic! Even if you DO NOT want to be included in the 2011 School Directory, we would appreciate it if you could return your form and indicate this preference!

PAC Communications for the 2011-12 School Year

At long last, our 2011-12 Class Reps have received their class lists and are in the process of setting up their group email lists. Thank you so much for your patience!

Here is some important information about how the PAC will be communicating with Ross Road parents this school year:

PAC Newsletters:

  • We are no longer publishing monthly PAC newsletters now that we have our own website, which is updated several times per week and is full of useful information!

Subscribing to the PAC website:

  • We encourage every parent to sign up for automatic email updates on the PAC website. Every time a new item (a “post”) is added to the website, subscribers receive it as an email message. This is a much more efficient way to distribute information than the existing fan-out system (where class reps forward emails from the Class Rep Coordinator to parents in their respective classes).
  • We will soon be phasing out the fan-out system, so we need EVERYONE to sign up for PAC website updates! It’s very easy – just enter your email address and you will receive an email from WordPress (the publishing software that powers the PAC website) asking you to confirm your subscription.   • Filling out the PAC Contact Permission form does NOT mean that you are automatically signed up for PAC updates. There is some confusion about this, especially as the school office also sends out school-wide emails, but that is a different system entirely. Signing up for automatic PAC updates has to be done by each parent individually.  Click here to learn out more about signing up for email updates.
  • If you would prefer not to sign up for email updates, then we encourage you to check the rossroadpac.ca website frequently for new information, as we will soon be using the PAC website as our main mode of communication. Class reps will still be in touch with their classes to send out information specific to that class or grade (field trip reminders, notices from teachers, Christmas Raffle baskets, etc).

Advertising opportunities in the Ross Road School Directory

The Ross Road School Directory is a great opportunity to advertise your business or service, and support your children’s school at the same time! There are several different ad formats to choose from, ranging from a business card size to a full page ad. Click here for more info about the School Directory.

Formats and prices:

  • 1/3 page (4.5″ wide x 2″ tall – roughly a business card size): $30.00
  • 1/2 page (4.5″ wide x 3.75″ tall): $50
  • Full page: (4.5″ wide  x 7″ tall): $100

Acceptable file formats:

  • It is preferred that ads be submitted by email in a digital format: PDF, EPS and TIF files are ideal. JPG files are acceptable, as long as they are high resolution.
  • Files must be the highest resolution possible for the best print quality. Images downloaded from websites are usually low-res and will not print clearly. As the directory is printed in black and white, greyscale ads with good contrast are recommended.

Class Rep / Class List update

We just wanted to give Ross Road parents an update on the Class Rep/Class List situation as we know you are anxious to get your class lists so that you can start connecting and communicating!

Due to privacy issues, we are required to obtain consent from all parents for permission to use their email addresses in PAC communications. This was part of the PAC Contact Permission Form that most of you have filled out and returned (thank you!).

Before we can provide class reps with parent contact information, we need to review these forms and ensure that each parent has given the “OK” for email distribution and of course privacy protection. This process takes quite a bit of time to organize and we apologize for the delay. We are working on a better system for next year!

The good news is that we have Class Reps in place for nearly all of our classes! They are looking forward to communicating with their respective parent groups!

School Directory Project: Seeking Volunteers and Advertisers!

First of all, thank you so much for returning your PAC Contact Permission Forms!  (It’s not too late to submit them! Click here for more info!)

Data Entry Volunteers
The School Directory team is looking for a few more parents to help enter all the data on these forms, and also to help with communicating with advertisers. The sooner we get all the data entered, the sooner we can get email lists to the Class Reps and get the the Directory published, so we’d really appreciate a few extra helpers!

PAC Contact Permission Form – deadline extension!

It’s not too late to send in your PAC Contact Permission Forms!

We have had a great response so far and would really appreciate it if we could get every family’s form returned as soon as possible so that we can get going on the Parent Email Network and the School Directory!

  • Forms can be downloaded here.
  • Hard copies are also available outside the office. (To the right of the office door, there is a shelf containing file folders – the PAC Consent Forms are in the folder entitled “PAC Schoolwide Notices”)
  • Please drop off completed and signed forms in the PAC Drop-box, under the “Down” stairs in the school lobby.
  • If you could drop your form off by Tuesday, September 27 that would be fantastic!

2011-12 School Directory

2009-2010 Ross Road School Directory

Thank you for taking the time to fill out the PAC Contact Permission Form! (Click here for more details about the form). As indicated on the form, the contact details collected from the submitted forms will be used to create a Parent Email Network (used by Class Reps to contact parents) and also a School Directory, a very handy printed resource!

For new parents at Ross Road School, here is some more information about the School Directory:

  • The School Directory is a project of the Ross Road Parent Advisory Council (PAC) and is intended as a resource for students and parents of École Ross Road School. Even in this technological age, it’s great to have a printed publication to refer to in order to quickly get in touch with other parents!
  • The Directory lists student names by division, along with an alphabetical listing of Ross Road families, their home addresses and their phone numbers.
  • The Directory is published every 2 years – the last directory was published in 2009, so this is the year for a new one!
  • It is also intended as a small fundraiser for the school.  The cost of printing and binding the Directory is funded by the PAC, business sponsors (parent and other), and a nominal copy charge or donation. Once the Directory is printed and binded, all profits raised from the sale of the Directories go back to the school.

The information contained in the Directory is compiled in cooperation with École Ross Road School administration. Your individual consent to be included in this Directory is required. The Directory will only be used for school community use and will not be distributed outside the school population or used for any commercial, political, or other purposes.
